Adding items into ContentsTrack involves a comprehensive process aimed at accurately documenting all details to facilitate job restoration estimation and maintain clear communication with our clients. While not every field is mandatory, we strive to include all necessary documentation and store it within ContentsTrack for thoroughness.

Item Components

These are the different components of an item we allow within ContentsTrack:

  • Status: Utilized to record the current state of the item, offering options like Clean, Replace, Questionable, and Storage. These statuses facilitate assessing the condition of the item and determining necessary actions.
  • Location: Indicates the current whereabouts of the item. For newly added items, their location is initially set as the customer site until they moved elsewhere.
    • Location doesn't show when inputting an item in mobile
  • Category: Specifies the specific category for the item, linking it with Xactimate.
  • Selector: Links the item to the closest matching selector, linking it with Xactimate.
  • Description: Enter a brief description of the item.
    • While typing in the Description on mobile, the Category/Selector will auto-populate based on your description.
  • Item ID: Used to track the item. Scan the barcode/QR code generated by ContentsTrack or manually input an ID. For instructions printing barcode/QR codes, refer to Creating and Managing a Job.
    • To capture the item ID, simply tap on the QR code icon while adding or editing the item. If you're using a web browser, ensure your webcam is connected and permitted to access the browser settings.
  • Box ID: Tracks the box and its contents. Scan the barcode/QR code generated by ContentsTrack or manually input an ID. For instructions printing barcode/QR codes, refer to Creating and Managing a Job.
    • To capture the box ID, simply tap on the QR code icon while adding or editing the item. If you're using a web browser, ensure your webcam is connected and permitted to access the browser settings.
  • Condition: Identifies custom actions or specific identifiers required for items. For configuring Condition Codes, refer to Setting Up and Managing Condition Codes.
  • Brand: Input the brand of the item.
  • Quantity: Input the quantity of the item.
  • Reported Cost: Input the reported cost of the item.
  • Model: Input the model of the item.
  • Age: Input the age of the item.
  • Notes: Notes can be added to items. On the web, you can add multiple notes or mark them as internal. However, on mobile, you're limited to adding only one note.
  • Images: Attach images to items. We support multiple images per item. Each image includes information on the photographer, image name, date taken, and any added comments.
  • Recordings: Include recordings with items. This feature also captures the recording's name, creator, recording date, and any associated comments.
