Tracking an Item and Utilizing the Chain of Custody

We have a few ways to track an item along it's course from packout, to restoration, to finally back to the customers site.

Tracking your individual item on Web:

Item/Box Lookup:

The item/box lookup will display the following details for an item or box: job, ID, box ID, room, location, parent location, status, description, condition, and notes.

  1. Under Main, go to Item/Box Lookup.
  2. Input the Item ID, Barcode ID, or Item description.
    1. Additionally, you can utilize the QR/barcode scanner by clicking on the corresponding icon. Ensure your webcam is connected and permitted to access the browser settings.
    Currently you can only scan a barcode using this feature.
  3. Click Search.

Within a Job:

Within a job you can view and edit an items details.

  1. Under Main, go to Jobs.
  2. Click on the job the item is located within.
  3. Click on Inventory.
  4. Utilize the search or filter icons to find the item you are looking for.
  5. To view or edit the items details click on the hyperlinked description.

Tracking your Items in ContentsTrack Mobile:

The ContentsTrack mobile app lets you scan an item or box ID to instantly view its details on your phone.

Item Lookup in ContentsTrack Mobile:
  1. Log in to the mobile app.
  2. Tap the three lines in the top left corner of the screen.
  3. Select Item Lookup.
  4. Enter the item/box ID manually or tap the QR code icon to scan the code.
Currently you can only scan a barcode using this feature.
  1. Tap Retrieve Details.

Utilizing the Chain of Custody:

The chain of custody offers insight into each location an item has been in and the duration of its stay. This information is available for each individual item or for the entire job as a whole.

Generating an items chain of custody:

The item's chain of custody includes a bar graph displaying the duration the item spent in each location, along with a detailed spreadsheet. The spreadsheet provides information on each location's date added, date exited, time in container, and the individual who changed the location.

  1. Under Main, go to Jobs.
  2. Click on the job the item is located within.
  3. Click on Inventory.
  4. Utilize the search or filter icons to find the item you are looking for.
  5. Click on the checkbox next to the item you want to see the chain of custody for.
  6. Click on the chain of custody.
  7. Within the chain of custody, you can view the bar graph, click on "View Full Log" for a detailed spreadsheet, print the chain of custody, or click on a location for more details.

Generating a Job's Chain of Custody:

The chain of custody report provides a clickable list of each item in a job, allowing you to view their individual chain of custody details.

  1. Under Tools, go to Analytics.
  2. Click on the drop down by Choose a Report and select Chain of Custody.
  3. Input a job name, then click generate report.
  4. This will display all of the items in the job. Click on the items to view the container, date added, date exited, time in location and who it was modified by.
